Simple terms for our software service

1. Welcome & Agreement

Welcome to OnePlaceHQ!

OnePlaceHQ is a product of AnnaiLabs, a technology company based in Tamil Nadu, India. These terms explain how our software works and what you can expect from us. By using OnePlaceHQ, you agree to these terms.

OnePlaceHQ provides business management software for restaurants, hospitals, pharmacies, jewellery shops, bakeries, gold loan businesses, and general billing. We're built specifically for Indian businesses.

2. Your Account & Subscription

Creating Your Account:

  • You must be 18+ or a registered business
  • Provide accurate business information
  • Keep your password secure
  • Don't share your account with others

Your Subscription:

  • Monthly or annual plans available
  • Pricing shown on our website
  • Includes GST (as per Indian tax law)
  • Auto-renews unless you cancel
  • You can cancel anytime from your account

Payment:

  • We accept UPI, credit/debit cards, net banking
  • Payment is in Indian Rupees (INR)
  • Invoices sent via email (GST-compliant)

3. What You Can (and Can't) Do

You CAN:

  • Use OnePlaceHQ for your business operations
  • Store your business data (bills, inventory, customer info, etc.)
  • Access from multiple devices (phone, tablet, computer)
  • Use Tamil or English interface
  • Get support in Tamil or English

You CANNOT:

  • Share your account with competitors
  • Try to copy or reverse-engineer our software
  • Use it for illegal activities
  • Store illegal or harmful content
  • Overload our systems or hack our servers

If we find misuse, we may suspend your account.

4. Your Data & Privacy (DPDP Act)

Your Business Data:

  • YOU own all your business data (customer info, bills, inventory, etc.)
  • We only use it to provide you the service
  • We keep your data secure with encryption
  • You can export your data anytime in CSV/PDF format

Data Protection (As per Indian Law):

  • We follow India's Digital Personal Data Protection Act, 2023
  • Your data may be stored on secure cloud servers
  • We won't sell your data to anyone
  • We'll notify you if there's ever a data breach

You have the right to:

  • Access your data
  • Correct your data
  • Delete your data (after closing account)
  • Withdraw consent

Your Responsibilities:

  • Keep regular backups of important data
  • Keep your login credentials secure
  • Don't store illegal content

5. WhatsApp Business Messaging

OnePlaceHQ integrates with the WhatsApp Business Platform (powered by Meta) to send business messages on your behalf. By using our WhatsApp features, you agree to the following:

How It Works:

  • OnePlaceHQ is a Meta Tech Provider that provides WhatsApp Business messaging capabilities through our software
  • When you connect WhatsApp, you create and own your own WhatsApp Business Account (WABA)
  • We use Meta's official Cloud API to send and receive messages on your behalf
  • We do not own, control, or have the ability to transfer your WhatsApp Business Account

Your WABA Ownership:

  • Your WhatsApp Business Account belongs to you, not to OnePlaceHQ
  • If you disconnect from OnePlaceHQ, your WABA remains yours in Meta Business Suite
  • You can access your WABA directly through Meta Business Suite at any time
  • You are responsible for maintaining a valid payment method for WhatsApp message costs with Meta

Message Costs:

  • WhatsApp message costs are charged by Meta directly to your WABA's payment method
  • OnePlaceHQ does not charge any additional fees for WhatsApp messages
  • Pricing is set by Meta and varies by message type (utility, marketing, authentication) and country
  • You can view your message usage and costs in Meta Business Suite

Your Responsibilities:

  • Comply with WhatsApp's Business Messaging Policy and Commerce Policy
  • Only send messages to customers who have opted in to receive them
  • Do not use WhatsApp to send spam, bulk unsolicited messages, or prohibited content
  • Respond to customer messages within 24 hours when possible (WhatsApp service window policy)
  • Maintain accurate business information in your WhatsApp Business profile

Data & Security:

  • WhatsApp messages are end-to-end encrypted by Meta during transit
  • We store message logs (sender, recipient, status, timestamps) for your records and delivery tracking
  • Your WhatsApp API credentials are encrypted at rest using AES-256-GCM encryption
  • We do not read or access the content of your WhatsApp messages except as needed to deliver them

Disconnection:

  • You can disconnect WhatsApp from OnePlaceHQ at any time from Settings
  • Upon disconnection, we remove our access to your WABA and delete stored credentials
  • Your WABA, phone number, and message history in WhatsApp remain unaffected
  • You can reconnect at any time or use another messaging provider

6. Service & Support

What We Provide:

  • Cloud-based software (access anywhere)
  • Regular updates and improvements
  • Tamil + English support via WhatsApp and email
  • 99% uptime target (some maintenance needed)

Support:

What We Don't Guarantee:

  • The software works "as is" - we fix bugs as quickly as possible
  • No guarantee of 100% uptime (internet, servers can have issues)
  • You're responsible for backing up your critical data
  • Features may change as we improve the software

If there's a problem, contact us and we'll help fix it.

7. Refunds & Cancellation

Cancellation:

  • Cancel anytime from your account settings
  • No long-term contracts or lock-ins
  • Payments are non-refundable, but you can use the service until your subscription period ends

After Cancellation:

  • Your data remains accessible for 30 days
  • Download/export your data before account closes
  • After 30 days, data is permanently deleted

8. Disputes & Problems

If You Have a Problem:

Step 2: If Not Resolved

  • We'll try to solve it through discussion
  • If needed, we can use arbitration in Chennai, Tamil Nadu
  • Governed by Indian laws

Your Rights:

  • Protected under India's Consumer Protection Act, 2019
  • You can approach consumer forums if needed
  • These terms don't remove your legal rights as a consumer

9. Changes & Important Info

Changes to These Terms:

  • We may update these terms occasionally
  • We'll email you 30 days before major changes
  • Continued use means you accept the changes
  • You can cancel if you disagree

Liability:

  • Our liability is limited to what you paid us in the last 6 months
  • We're not responsible for lost profits or business interruption
  • You're responsible for maintaining data backups

Other Important Points:

  • These terms are governed by Indian law
  • Courts in Chennai, Tamil Nadu have jurisdiction
  • If any part is invalid, the rest still applies
  • English version prevails if there's translation confusion
